At a corporate event, the venue already smells of something: its own lobby scent, the carpet, the kitchen or nothing at all. None of those were chosen for your brand. Scenting a launch, conference, gala dinner or roadshow deliberately, with your own scent at the right level in the right zones, turns the air into part of the event rather than an accident of the venue.
Why the venue’s default scent undercuts your brand
- It belongs to someone else. A hotel ballroom smells of the hotel, not of your launch.
- It may clash. A heavy venue scent can fight with your product, your catering or your brand’s personality.
- It is inconsistent. The same roadshow in three venues smells three different ways.
How to scent an event well
Zone it
Scent the arrival, registration and reception areas where first impressions form. Keep dining areas and small breakout rooms light or unscented.
Time it
Start diffusion before guests arrive so the space is ready, and lower output as rooms fill, because a crowd changes how scent is perceived.
Use the right equipment
Portable cold-air diffusers suit temporary installations; large halls may need several units or a feed through the venue’s air-handling system, with the venue’s approval.
Use your scent
If you have a signature scent, the event is the place to show it. If not, choose a library scent that fits the brand and the product.
Check the venue’s rules
Many venues have fragrance policies and must approve equipment. Ask early, and ask them to switch off their own scent in your spaces.
Events where scent works well
- Product launches, where scent can echo the product itself.
- Conferences and exhibitions, to make a booth or registration memorable.
- Gala dinners, at arrival and reception rather than at the table.
- Roadshows, where one scent links every stop.
Our fragrances are created by drom and formulated within the IFRA Standards, and we keep levels low for mixed audiences. See our event and exhibition scenting service.
Frequently asked questions
How far ahead should we plan event scenting?
Several weeks, to allow for scent selection and venue approval. Bespoke scents need longer.
Can scent be used at a dinner?
At arrival and reception, yes. Keep it away from the tables so it does not compete with the food.
Can we give guests the scent to take home?
Yes. Room sprays, candles or gifts in your brand scent extend the event beyond the day.
